Safeguarding for Other Ministries

There are a number of other ministries at All Saints who help the All Saints family to achieve our vision to follow Christ and grow like him more and more. These ministries include all of our church staff, Safeguarding team, church council, ministry leaders and Finance team. In keeping with our desire to show care and protection to every member of our church community, we adhere to diocesan policies which require everyone working in these ministries to undergo background checks and safeguarding training. The level of necessary background checks and training fluctuates with your level of involvement. Admittedly this process can be time-consuming and a little “personal” but it is an important safeguard for All Saints. You will not be required to navigate this process on your own! Our Safeguarding Officer, Claire Daglish, and Assistant Safeguarding Officer, Mary Sidebottom,  will support you through the process. All inquiries and required documents can be sent to safeguarding@allsaints.ch.

Safeguarding Clearance

Recent changes in our Diocesan Policy now require everyone working with vulnerable adults to undergo background checks. To get the process started could we ask you to please fill in the attached Confidential Declaration Form (click here for the Word version or the PDF version) and return it to the Safeguarding Team(safeguarding@allsaints.ch) or post to: All Saints’ English Church, Ave de la Prairie 40, 1800 Vevey.

You may then need to obtain clearance for all countries you have lived in for longer than 6 months for the last 10 years.

The All Saints Safeguarding Team will send you an email stating what you need to do and where you are in the process. You can find this email in the My Communication tab in your My ChurchSuite account and in your normal mailbox.

Swiss Special Clearance

All volunteers with children and vulnerable adults resident in Switzerland may need to obtain Swiss Special Clearance. The process is fairly simple and the clearance can be obtained within a couple of weeks.

This is what you need to do:

  1. Once you have given or emailed your signed Confidential Declaration Form to the Safeguarding Team, they will send you the employer’s (All Saints) application for Swiss clearance in the post. Please note it is only valid for 3 months.
  2. You then need to take this form to the post office (plus an official identity document e.g. passport, identity document) and ask for a Swiss Special Extract (Extrait Spécial du casier judiciaire Suisse). You will need to pay CHF20 which All Saints will pay back to you
    OR
    Order it online here https://www.e-service.admin.ch/crex/cms/content/strafregister/sonderprivatauszug_triage_en  by clicking the link ‘to order the special excerpt from the swiss criminal records ‘ in the 3rd step and filling in your details. You will need to pay CHF20 online and print out the form they give you which you then need to post with a photocopy of your identity document and the All Saints employer form to the address they give you.
  3. Once you get your Special Excerpt, please scan and email it to the Safeguarding Team safeguarding@allsaints.ch so that they can update the All Saints’ safeguarding records.

UK DRB Clearance

If you have lived in the UK in the last 10 years, this is what you need to do:

  1. Once you have given or emailed your signed Confidential Declaration Form to the Safeguarding Team, you will be contacted by the Diocese in Europe Safeguarding Team with a number and information about the UK DRB clearance process.
  2. You will need to apply online using the link and number provided by the Diocese. Please note that this online application is only valid for 3 months.
  3. You will need to show the Safeguarding Team three documents (dated within the last 3 months) from uk-enhanced-dbs-check-id-documents-list-2022.  One document must confirm your current address and two must confirm your date of birth (passport, Swiss driving licence, birth certificate). One must include a photograph (e.g. a passport, Swiss driving licence). Your photo ID must still be valid.
  4. the Safeguarding Team will stamp the documents as verified and send them to the Diocese.
  5. The Diocese then complete the verification and post you your UK DRB certificate once the check has been completed
  6. Once you get your UK DRB clearance, please scan and email it to the Safeguarding Team safeguarding@allsaints.ch so that they can update the All Saints’ safeguarding records.

Clearance for other countries

The clearance for other countries can be quite complicated and it may be possible for you to supply a reference instead for specific countries. Mary Sidebottom will contact you with further details once she receives your Confidential Declaration Form

Safeguarding Training

In addition to this, as a volunteer working with children and vulnerable adults, the Diocese in Europe may require that you complete Basic Awareness and possibly Foundation training.  These are both online courses which take about an hour per training session and can be found on the Diocesan website.

The All Saints Safeguarding Team will send you an email stating what you need to do and where you are in the process. You can find this email in the My Communication tab in your My ChurchSuite account and in your normal web mailbox.  the Safeguarding Team will be available to support you through the process.

Basic Awareness

The Basic Awareness training session is relatively simple and can be accessed through the Diocesan website. It takes about an hour to complete. Here’s how it works:

  1. Go here and create a profile (or, if you have an existing username, simply log in and head straight to Online Courses)
  2. Click choose a username/password and enter your personal details.
  3. Under diocese, select Europe
  4. Under country, select Switzerland
  5. Under Chaplaincy, select Switzerland Vevey, All Saints
  6. For Church Role, select Volunteer with Children and Youth or, if applicable, a specific role (e.g. Ministry Head, etc.)
  7. After successfully creating your portfolio, the Diocese will send you a confirmation link at the address provided. There’s no need to wait on your confirmation email, go ahead and log in and click on Online Courses  and then Basic Awareness.
  8. When you complete the course, save a pdf copy of your completion certificate or a copy of your training record (found on the Home page and then clicking the My Records button) and please send this to the Safeguarding Team (safeguarding@allsaints.ch ) so that they can update the All Saints’ records accordingly.

Foundations

  1. Once you have completed the Basic Awareness course, select the Safeguarding Foundations course on the same page.
  2. When you complete the course, save a pdf copy of your completion certificate or a copy of your training record (found on the Home page and then clicking the My Records button) and please send this to the Safeguarding Team (safeguarding@allsaints.ch ) so that they can update the All Saints’ records accordingly.
